Shipping Policy
Effective Date: November 1, 2026
Last Updated: November 1, 2026
At Wild Rose Virtual Horse Show ("WRVHS," "we," "us," or "our"), we take pride in recognizing the accomplishments of our competitors through ribbons, rosettes, prizes, and other awards.
This Shipping and Delivery Policy outlines how physical awards are prepared, processed, and shipped following our virtual equestrian competitions.
By participating in a WRVHS competition, you acknowledge the shipping procedures described below, subject to any applicable consumer protection rights.
1. General Shipping Information
Wild Rose Virtual Horse Show operates as an online equestrian competition platform. Competitors participate remotely by submitting videos of their performances for judging.
As our competitions are conducted virtually, physical shipments generally consist of:
-
Placement ribbons and rosettes.
-
Championship and reserve championship awards.
-
Specialty or seasonal ribbons.
-
Prizes and promotional awards.
-
Other physical items offered as part of a competition.
Digital items, including score sheets, judge feedback, and electronic certificates, are delivered electronically and do not require physical shipping.
2. Award Processing Times
Physical awards are prepared for shipment after the applicable competition has concluded and results have been finalized.
Processing may include:
-
Finalizing competition results and placings.
-
Verifying award eligibility.
-
Organizing ribbons and prizes.
-
Confirming recipient mailing information.
-
Packaging awards for shipment.
-
Coordinating with postal or shipping providers.
Estimated processing time: 7-10 business days
Processing times are estimates and may vary depending on the number of entries, award availability, and administrative requirements.
Specialty or customized awards may require additional preparation time.
3. Shipping Locations
WRVHS is based in British Columbia, Canada.
We may offer shipping within Canada and to eligible international destinations, depending on the competition, shipping arrangements, and applicable postal restrictions.
International competitors should confirm whether physical award shipping is available to their location before entering a competition where physical awards are an important part of their purchase.
WRVHS reserves the right to restrict shipping to certain destinations where delivery is unavailable, prohibited, or impractical. Any such restrictions will be disclosed before entry wherever reasonably possible.
4. Shipping Costs
Shipping costs may vary depending on:
-
Recipient location.
-
Package size and weight.
-
Number and type of awards.
-
Shipping destination.
-
Postal or courier rates.
-
Applicable international shipping charges.
Where shipping is included in the entry fee, no separate standard shipping charge will apply.
Where shipping is charged separately, the applicable cost or method of calculation will be disclosed before the competitor commits to the purchase.
Additional charges for optional expedited shipping or other requested services will be communicated before they are incurred.
5. Estimated Delivery Times
Delivery times vary depending on the destination, postal service, and shipping conditions.
The following timeframes may be used as general planning estimates after dispatch, but are not guaranteed delivery commitments:
-
Within Canada: Approximately 3–14 business days.
-
United States: Approximately 5–21 business days.
-
Other international destinations: Approximately 10–30 business days or longer.
Actual delivery times may differ significantly depending on the shipping service selected, customs processing, weather, postal disruptions, and destination.
Any more specific delivery estimate communicated for an award will be based on the available shipping information at the time.
6. Mailing Address Requirements
Competitors are responsible for providing a complete and accurate mailing address when requested.
Required information may include:
-
Recipient's full name.
-
Street address or postal box.
-
City or town.
-
Province, state, or region.
-
Postal or ZIP code.
-
Country.
-
Contact information where required for delivery.
Competitors should notify WRVHS promptly if their mailing address changes before shipment.
WRVHS cannot guarantee that an address can be changed after a package has been dispatched.
If a package is returned because of an incorrect or incomplete address supplied by the recipient, additional shipping charges may apply before it can be resent. Any such charges will be communicated in advance.
7. Shipping Notifications and Tracking
Where practical, WRVHS may notify competitors when awards have been shipped.
Depending on the postal or courier service selected, tracking information may or may not be available.
Some standard letter-mail shipments, including lightweight ribbon packages, may be sent without tracking.
Where tracking is provided by the shipping carrier, WRVHS may share the tracking details with the recipient.
Competitors acknowledge that untracked shipping services may not provide detailed delivery updates.
8. Lost, Missing, or Delayed Shipments
Although we make reasonable efforts to package and dispatch awards correctly, shipping delays and losses can occasionally occur.
If an award has not arrived within the expected delivery period, competitors are encouraged to contact WRVHS.
Please provide:
-
Competitor name.
-
Competition month or event.
-
Class or division.
-
Description of the missing award.
-
Confirmed mailing address.
WRVHS will review the shipment information and, where appropriate, contact the postal or courier provider.
Depending on the circumstances, available inventory, and applicable legal obligations, we may arrange a replacement, reshipment, or another suitable resolution.
Nothing in this policy limits remedies available to consumers under applicable law.
9. Damaged Awards
We make reasonable efforts to package ribbons, rosettes, and prizes carefully to reduce the risk of damage during transportation.
If an award arrives damaged, please contact WRVHS as soon as reasonably possible.
Where available, include:
-
A description of the damage.
-
Photographs of the damaged award.
-
Photographs of the packaging.
-
The competition and class information.
WRVHS will review the circumstances and determine an appropriate resolution, which may include replacement or another remedy where required or appropriate.
10. Specialty and Customized Awards
Certain competitions may feature specialty or customized awards, including:
-
Holiday-themed ribbons.
-
Halloween ribbons.
-
Championship rosettes.
-
Limited-edition awards.
-
Personalized or event-specific prizes.
These awards may be subject to additional production timelines, supplier availability, or minimum entry requirements.
If a specialty award is conditional on a minimum number of entries, that condition will be disclosed before purchase.
Where an advertised specialty award becomes unavailable, WRVHS will notify affected competitors and explain the available alternatives or applicable remedies.
Standard placement ribbons may be offered as an alternative where appropriate and consistent with the conditions disclosed at entry.
11. Combined Shipping
Where practical, WRVHS may combine multiple awards earned by the same competitor into one shipment.
Combined shipping may help reduce packaging materials, postal costs, and administrative processing.
Combining shipments may affect dispatch timing. Where a material delay is expected, we will make reasonable efforts to communicate this to affected recipients.
12. International Shipping and Customs
International shipments may be subject to:
-
Customs inspections.
-
Import duties.
-
Taxes.
-
Postal handling fees.
-
Destination-specific restrictions.
-
Additional delivery delays.
Any applicable import charges not included in the original purchase price will be disclosed as clearly as reasonably possible before purchase.
Unless expressly stated otherwise, recipients may be responsible for lawful customs duties, import taxes, or handling fees charged by their destination country.
WRVHS is not responsible for delays caused solely by customs authorities or international postal processing, but will provide reasonable assistance with available shipment information.
13. Unclaimed or Returned Awards
If an award shipment is returned to WRVHS because it was unclaimed, refused, or could not be delivered, we may contact the recipient to arrange another delivery attempt.
Additional shipping costs may apply where the return resulted from an incorrect address or failure to collect the shipment.
Awards that remain unclaimed may be subject to reasonable storage and claim deadlines, provided the recipient has been informed of those deadlines.
Any disposal or forfeiture of awards will be subject to applicable legal requirements.
14. Digital Delivery
Certain competition materials may be delivered electronically, including:
-
Judge score sheets.
-
Written feedback.
-
Digital certificates.
-
Competition results.
-
Entry confirmations.
-
Other electronic competition materials.
Digital materials may be provided through email, the WRVHS website, or another designated electronic platform.
Competitors are responsible for providing a valid email address and checking their spam or junk folders where appropriate.
If an expected digital item is missing, please contact WRVHS for assistance.
15. Changes to Shipping Arrangements
WRVHS may update shipping methods, carriers, or operational procedures to reflect changes in postal services, costs, or award fulfillment requirements.
Any material change affecting an existing paid entry will be communicated to affected competitors, together with applicable options or remedies.
Updated shipping policies will be published on our website.
